Manage users, roles, and permissions.

User Management

Manage your organization's users, their roles, and facility assignments from the Admin Dashboard.

User List

Access the user list from the main navigation:

Columns

Search and Filter

  • Search by name or email
  • Filter by role
  • Filter by status
  • Filter by facility

Pagination

  • Configure results per page (10, 25, 50, 100)
  • Navigate between pages
  • Jump to specific page

Adding a New User

  1. Click "Add User" button
  2. Fill in user details:

  1. Click "Create User"
  2. User receives invitation email

User Roles

Admin

  • Full platform access
  • User management
  • Facility management
  • Subscription management
  • Settings configuration

Manager

  • Facility-level administration
  • User management within assigned facilities
  • Reports and analytics access
  • Cannot modify billing or subscriptions

Operator

  • User management (non-admin roles only)
  • Report viewing
  • Cannot modify facilities

Viewer

  • Read-only access
  • View reports and dashboards
  • Cannot modify any data

User Status

StatusDescription
ActiveUser can log in and use the system
InactiveAccount created but not yet activated
SuspendedAccount temporarily disabled
PendingInvitation sent, awaiting acceptance

Managing User Status

Deactivate a User

  1. Find the user in the list
  2. Click the Actions menu (three dots)
  3. Select "Deactivate"
  4. Confirm the action
  5. User can no longer log in

Reactivate a User

  1. Find the deactivated user
  2. Click the Actions menu
  3. Select "Reactivate"
  4. User can log in again

Suspend a User

Use suspension for temporary access removal:

  1. Find the user
  2. Click Actions > "Suspend"
  3. Add suspension reason (optional)
  4. User is immediately logged out

Facility Assignments

Users can be assigned to multiple facilities:

Assigning Facilities

  1. Open user profile
  2. Go to Facilities tab
  3. Click "Add Facility"
  4. Select facility from dropdown
  5. Click "Save"

Removing Facility Access

  1. Open user profile
  2. Go to Facilities tab
  3. Click Remove next to the facility
  4. Confirm removal

Bulk Actions

Perform actions on multiple users:

  1. Select users using checkboxes
  2. Click "Bulk Actions" dropdown
  3. Choose action:
    • Assign to facility
    • Change role
    • Deactivate
    • Export selected

Invitation Management

Resend Invitation

If a user hasn't received or has lost their invitation:

  1. Find the pending user
  2. Click Actions > "Resend Invitation"
  3. New invitation email is sent

Cancel Invitation

  1. Find the pending user
  2. Click Actions > "Cancel Invitation"
  3. Invitation link is invalidated

User Activity

View individual user activity:

  1. Click on user name to open profile
  2. Go to Activity tab
  3. View:
    • Login history
    • Actions performed
    • Examinations documented
    • Patients created

Best Practices

  • Use the principle of least privilege when assigning roles
  • Regularly review user access
  • Promptly deactivate users who leave the organization
  • Assign users only to facilities they need access to
  • Monitor the activity log for unusual behavior
